Reservation Procedures

Non-University users of general assignment classrooms will be required to obtain sponsorship from a bona fide campus department. A letter signed by the Chair or Director of the sponsoring department acknowledging their intention to sponsor the group should be addressed and sent to Classroom Scheduling, 123 Sproul Hall, University of California, Berkeley, CA 94720-5404. The letter should also include the following information:

  • Group name
  • Proposed purpose of the event
  • Group contact person
  • Person in charge and on site at the event
  • Address and telephone number of the contact person
  • Requested dates and times
  • Number of rooms requested
  • Capacity of the rooms requested
  • Audio-visual or special equipment needs
  • Admission fees or material fees
Once the non-University user group's event has been approved and scheduled by the Classroom Scheduling Office, a Facility Use Permit will be issued.  Prior to the event date, the Facility Use Permit must be signed and submitted back to Classroom Scheduling accompanied by a Certificate of Insurance naming "UNIVERSITY OF CALIFORNIA REGENTS" as additionally insured with General Liability coverage of not less than One Million Dollars ($1,000,000) per occurrence.  The Certificate of Insurance must be attached to the Permit in order for the event to be approved.

For an additional fee, non-University user groups may purchase insurance coverage from the University by calling the Risk Management Office at (510) 643-9318.  The required coverage amount may be increased depending on proposed use.  Please consult with the Risk Management Office for guidance.

Evans Hall Information

Evans Hall has been designated as the campus building for events held by non-University users. The building contains twenty-six rooms ranging in capacity from 18 to 238.

The fees for general assignment classroom use by non-University users are as follows:

0-49 $25.00
50-149 $50.00
150-249 $100.00

Fees will be charged for each room on a per meeting basis. Groups will be billed monthly for room use.

An additional charge of $50 has been instituted by the Real Estate Services Office for review of each contract. This charge will be billed directly by the Real Estate Services Office.
