First Three Weeks of Instruction
During the first three weeks of instruction, rooms are not available for special events between 8:00 a.m. and 6:00 p.m., Mondays through Fridays.
Here is a time line for scheduling special events:
During the first three weeks of instruction, the Office of the Registrar, Classroom Scheduling, processes hundreds of room change requests for academic classes. During these three weeks, academic classes have priority scheduling over special events. If you have a special event room reservation on a weekday evening during the first three weeks of the term, there is a slight possibility that the room will be needed to accommodate an academic room change. The Office of the Registrar, Classroom Scheduling, will make every effort to find a comparable replacement room if possible. When planning important events, meetings, or conferences, it may be wise to schedule these events after week four of the semester when academic room change requests have been completed.
Who is Eligible to Reserve a General Assignment Classroom?
Academic Departments - Designated staff in academic departments may submit requests for departmental events via the Special Event Room Reservation Request form. Requests must be submitted no later than 10:00 a.m. on the day of the event.
Faculty - Please see the designated scheduler in your department. Every academic department has at least two persons recognized by our office. To find out who your designated scheduler is, click here or call 510.642.0313.
Administrative Offices - Staff in administrative offices may submit requests for university events via the Special Event Room Reservation Request form. Requests must be submitted no later than 10:00 a.m. on the day of the event.
Student Groups - Signatories for registered student groups may make reservations during the current semester through the last day of instruction. Go to Student Group Classroom Scheduling for online reservation procedures.
Staff Organizations - Registered staff organizations may submit requests for staff events via the Special Event Room Reservation Request form. Requests must be submitted no later than 10:00 a.m. on the day of the event.
Non-University Users of General Assignment Classrooms - Special restrictions apply.

General Guidelines for Reserving General Assignment Classrooms for Special Events
During the first three weeks of instruction, we are still shifting rooms for the academic schedule, so we cannot make any special event room reservations for Monday through Friday from 8:00 a.m. through 6:00 p.m. You can still submit the request for use of a room after the third week, but we will not act on your request until the fourth week.
Same day requests must be submitted by 10:00 a.m. on the day of the event.
Evening and weekend requests can be submitted up to one year in advance. This does not apply to student groups.
Special events may be displaced by academic classes during the first three weeks of instruction.
General Assignment Classroom lockouts
If you are locked out of your reserved room after 5:00 p.m. during the week or anytime Saturday and Sunday, please call 510.642.1032.
Furniture Equipment Rentals
To rent chairs, folding tables, table covers, podiums, etc., please call Property Management/Special Event Services at 510.643.6262. The equipment rental list includes the most commonly requested items; additional items available on request.
