Bear-Facts Information Page


General Information

Bearfacts is a web-based system residing on an Oracle server; its data is taken from a download from DB2 nightly. With Bear Facts, you can run many useful reports, such as a listing of students in your department, class lists, e-grades assigned and more.


Who uses the system and when?

UG major advisor Undergraduate departmental advisors can run reports that will show
  • information about individual students, including, transcripts, student addresses, class schedules
  • Reports on students in the majors, such as addresses, students by category (registered, withdrawn), advisor codes, excess units, students on the degree list, enrollment list of all majors for a particular term, and degrees awarded by major.

  • information about individual students, including, transcripts, student addresses, class schedules
  • Reports on students in the departments, such as addresses, students by category (registered, withdrawn), advisor codes, enrollment list of all students for a particular term, and degrees awarded by department, residency status, filing fee status.
Graduate departmental advisor who is also scheduler Graduate departmental advisors can run reports that will show

  • Reports on students in the departments, such as addresses, students by category (registered, withdrawn), advisor codes, enrollment list of all students for a particular term, and degrees awarded by department, residency status, filing fee status, class lists, waiting lists, and grades assigned for the previous semester.
Receptionist who assists students Access cannot be restricted, so this category of employee has the same access as the undergraduate major advisor (above)

 

Departmental Scheduler Departmental schedulers can use the system for class lists, waiting lists, grades assigned for previous semester, mid-term status reports


Access

Gaining access is a two step process.

  1. You must receive FERPA training before you get access to Bear Facts. To sign up, go to UC Learning Center, and look for the course entitled Privacy of Student Records: Are you Revealing Too Much?, the mandatory training to learn about compliance with Family Educational Rights and Privacy Act (FERPA).
  2. Once you have completed and passed the FERPA training, please notify Doug Au at dougau@berkeley.edu so that your name can be added to the FERPA table. This takes approximately 3 working days. Doug will notify you when this is done.
  3. After your name have been added to the FERPA table, go to https://bfaccessrequest.berkeley.edu/bfaccessrequest/secure/bf_accessreq_main_menu. You will need to fill out the on-line form that your supervisor will need to approve on-line through their own BearFacts logon. It then gets routed to Dorothy Jones and should take 2 to 3 working days to process.

There is currently no training in place for BearFacts.
